BHRS Companies is seeking a full-time Jacksonville based Administrator

What does the role pay? This is a full-time Jacksonville, FL based role with a pay range of $60,000 to $80,000 total compensation package including annual bonus at plan.
Base salary is commensurate with experience and qualifications.

Role Summary Administrators are directly responsible for managing the administrative aspects of the company's portfolio of projects, general services and overall corporate compliance while also providing coordination support to the operations team.
This is an integral role that pushes projects forward in a positive way by working directly with customers, vendor partners and internal staff including management, sales, project management and accounting etc.
Project administrators and coordinators support commercial construction and modular projects.
Some administrators focus on individual customers or certain project types based on the needs of the business.
Travel Role is local to our Jacksonville corporate HQ internally performing planning, coordination, and administrative functions.
Travel may be requested, but travel is not a mainstream aspect of the position.
Primary Responsibilities Support all administrative functions for BHRS Cos.
and its operating divisions.
Stand as the primary responsible party for document and process compliance throughout project planning and delivery.
Compliance areas include contracts, budgets, cost codes, drawing logs, submittals, transmittals, photos, meeting minutes, RFP’s, ITA’s, purchase orders, sub-contracts, invoicing, lien waivers, pay applications and more.
Administrative project initiation including contract preparation, credit approval, project setup, data entry and securing required signed documents.
Prepare or support sub-contracts, purchase orders, change orders, permits etc.
Coordinate vendor compliance with all company and project requirements (insurance, background checks, safety paperwork etc.
).
Support project managers by coordinating and administratively supporting the development, distribution, and management of bid packages, RFI’s and RFP’s including direct communication with vendor partners.
Ensure accurate and complete project directories including research, outbound phone calls, rapport building, vendor onboarding and collaboration with site contacts and customers.
Facilitate and support customer and vendor communication including project planning calls, necessary written updates, and meeting minutes.
Scheduling of internal and external resources and confirmation of services performed.
Proactive communication with vendor partners to obtain accurate invoicing to ensure timely recognition of revenue and expense.
Providing accurate and timely invoicing and cost documentation to accounting for appropriate invoicing, revenue recognition and vendor payment processing.
General support of project management team as needed.
Requirements 3-5 years administrative experience in commercial construction, development, and/or commercial asset management strongly preferred.
Bachelor’s degree with general business major preferred (ie.
Business Administration, International Business, Finance, Human Resources, Management Information Systems, etc.
) Will consider inexperienced candidates with strong construction education credentials.
High degree of initiative and strong customer service focus.
Excellent attention to detail, ability to meet deadlines and follow through to task completion.
Ability to establish, develop and nurture effective internal and external relationship.
Ability to effectively manage multiple, changing priorities in a fast-paced environment with limited supervision.
Excellent verbal and written communication skills.
Strong interpersonal, organizational, and problem-solving skills.
Proficient knowledge of MS Office products (Word/Excel/Outlook/365).
Professional, positive image and attitude to internal and external customers.
