General Description / Primary Purpose The Coordinator Employment, under the direction of an Assistant Director or above, assists in the design, development and implementation of the recruitment and employment function.
Recommends policies and procedures to ensure effective coordination of related processes and programs.
Essential Duties Job Function Coordinates recruitment for all positions for specified areas of University; tracks, reviews, finalizes, and grants approval of recruitment requests and recruitment plans for employees.
This includes the process of reviewing search committees and interview pools for diversity as well as collaborating with departments to ensure diverse recruiting.
Serves as subject matter expert to specified departments regarding recruiting guidelines including evaluation of equal opportunity and inclusion.
Review employment requests for accuracy and compliance; approves postings and assists with completion and processing of the request.
Responsible for recruitments, onboarding of international student new hires, data entry of part-time faculty and graduate assistant contracts and the posting of all jobs.
Makes determinations for approved postings including when a position can be closed, reposted, search concluded (or failed), provides guidance to the department on next steps.
Provides guidance to the departments on external advertising opportunities for job postings.
Review applicants and ensure the appropriate identification of qualified applicants (internal applicants, Vets, etc.
).
Functional in all recruitment aspects of the PeopleAdmin system.
Background Checks – Ensure completion and compliance for all new hires and individuals participating in any university approved camp; document and prepare appropriate notification to candidates and hiring officials as necessary.
Reviews all background screenings and makes appropriate determinations.
Reviews applications for conflict of interest and/or employment of relatives and makes a determination.
Employment Offers – Provides guidance to assigned departments.
EPAF – Review daily EPAFs, complete process, and troubleshoot errors.
Prepare and update EPAF documentation, train constituents.
Facilitate HR’s portion of Welcome to the Nest.
Coordinate required documentation needed for non-faculty employee personnel files.
Immigration – Familiar with immigration processes; review status of new hires, notifying appropriate departments of re-verification dates.
Develops, maintains, and analyzes employment reports (background checks, time to fill positions etc.
,).
Participates in departmental system upgrades and electronic form development as applicable to the job functions.
Serve as resource to troubleshoot OASys related inquiries for applicants and University constituents.
Review and approve user accounts for Applicant Tracking System Collaborate with other functional areas of HR as appropriate.
During declared campus emergencies, this position may be required to perform specific job-related duties at a designated off campus location or place of residence.

Additional hours may be required during peak periods.
May assist with special projects for the office as needed.

Required Qualifications This position requires either (a) Master’s degree from an acceptable accredited institution in a directly related area of specialization and two years of experience directly related to the job functions; (b) Bachelor’s degree from an acceptable accredited institution in a directly related area of specialization and two years of experience directly related to the job functions; or ( c) 6 years of direct experience.
